Office Administrator – Job Vacancy

Kisumu Youth and Development Organization (YYC) is a registered Community Based Organization with a network of over 1,585 Village Youth Bunges operating across the Kisumu County. YYC, a youth empowerment program with the core aim of mobilizing the young people across the County, initiate interventions that are geared towards improving their livelihood as well as provide a platform to enhance their voice and participation on both local and national policy issues.

In a bid to meet its objective, YYC Board wishes to recruit an Office Administrator to supervise and coordinate projects under its Strategic Plan 2011 – 2015 of improving the livelihood of the youths and promoting the civic engagements of the Bunge members on civic and national policy issues.

SUMMARY OF THE POSITION

YYC being a CBO with a network of over 1,585 Village Youth Bunges and working on socio-economic empowerment of the youths as well as promoting the youth participation in the democratic governance and advocacy on the youth friendly policies. The Administrator has the lead role in managing the various projects the Organization runs. S/he will also have the critical role of planning and developing the project ideas for fundraising.

DUTIES AND RESPONSIBILITIES

Team Leadership/Supervision

In consultation with the Executive Secretary:

1. Provide tactical and strategic guidance and leadership to the program team to ensure that Organizational and programme objectives met
2. Oversee development of advocacy programs and messages and policy issues.

Advisory

1. Advising and technically supporting YYC Board on strategy, implementation and monitoring of activities
2. Creating structured opportunities to facilitate internal and partner learning for decision making, knowledge sharing and influencing good practice for partners
3.  Leading and guiding project monitoring, reports, reviews and evaluations and ensuring learning and dissemination among YYC partners and within the Organization

  Administration and Management

1. Managing YYC’s programs/activities as may be directed by the Board. Overall responsibility for the development of implementation plans, work plans and schedules
2. Managing donor and services contracts; ensuring that contracts/grants design and implementation are in line with YYC’s policies and procedures
3. Providing management and supervisory support to project partners in the design, and implementation of programs.
4. Develop and/or review monitoring, evaluation, review and learning instruments and processes
5. Taking part in research activities including writing research proposals, research designs, researching and compiling reports as appropriate based on YYC’s strategic mandate
6. Operate office equipments such as photocopier, fax machine and computers.
7. Attend and take minutes in both office and other location as may be instructed by the Secretary General.
8. Manage records and proper book keeping.
9. Provide information to visitors or refer them to appropriate contacts.

Strategic Management/Leadership

1. Develop, review and oversee the implementation of policy frameworks for the YYC organs
2. Develop and review YYC’s programs as per its Strategic Plan 2011 – 2015
3. Ensure effective representation and communication with all the Bunge leadership on the programmatic areas.
4.  Developing links and sharing experiences with other stakeholders in order to promote the mission and vision of YYC.

External Relationships/Representation

1. Establishing and maintaining constructive working relations with key stakeholders including the Government and its institutions, other Civil Society organizations and networks, multilateral agencies and donors.
2. Building relationships with selected partner Organizations and coordination with other Village Bunges members.

Resource Mobilization

1. Establishing partnerships with development partners
2. Developing resourcing strategies that effectively respond to long-term and short-term programs and organizational objectives or needs
3. Develop program and project proposals for support in line with programmatic and organizational objects
4. Identifying and assisting the Board in securing funding in accordance with the budget targets
5. Promoting the integration of YYC’s goals and thematic areas into donor agendas by undertaking donor research and developing and maintaining effective donor advocacy

QUALIFICATIONS AND EXPERIENCE

1. Demonstrate experience in working for network administrative Organizations
2. Hold a diploma in any relevant social science discipline from a recognized Institution. Degree will be an added advantage.
3. At least 1 year experience in coordination and administrative of projects/programs with specific emphasis on participatory community based approaches and dissemination strategies.
4. Demonstrated experience in regional networking
5. Skills in report and proposal writing, narrative and financial reporting
6. Experience in research management and methodologies
7. Proven experience in resource mobilization.
8. Experience in Organizational development, capacity audit and capacity development of CBOs
9. Experience in financial management is very key

 COMPETENCIES

1. Familiarity with the concepts of sustainable development, public sector management, social and economic rights, social accountability and policy making
2. Solid understanding of the environment in which YYC operates; commitment to understanding of YYC’s mission, vision and objectives
3. Extensive knowledge of Kenya’s governance institutions and their decision-making procedure.
4. Excellent written and verbal communication skills in English and Kiswahili
5. Excellent computer and analytical skills
6. Willingness and ability to undertake regular field and other external visits and interact with different stakeholders from diverse backgrounds and work for long hours with minimum supervision
7. Highly organized and detail oriented; able to prioritize and produce work of consistently high standards
8. Leadership qualities and team management
9. Excellent presentation and facilitation skills
10. Strong network skills
